What to include in a rental vehicle condition report
A useful condition report identifies the vehicle and renter, records the date and location of the inspection, and preserves evidence that can be compared later. Create one report at pickup and another at return, then connect them with the same agreement or booking number.
When should the report be completed?
Create the pickup report immediately before giving the renter the keys. Create a separate return report when the vehicle is handed back, before cleaning or moving it where possible. Keep both PDFs unchanged.
How condition reports contain damage reports
The pickup damage list establishes what already existed. The return list records issues observed later. If a return issue needs investigation, repair estimates, insurance or liability decisions, it can then become a separate damage case.
